Make a start

One step at a time.

4 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Set up the worked example

Open

Open a chat AI that accepts pasted text and start a new conversation. Keep the source notes visible beside the chat so you can check exact quotes. No meeting recorder or task-management connection is needed.

Add the sample

In step 1, replace [paste notes] with all of “The starting point” (Synthetic input), from “Synthetic example: a content team's planning notes.” through the sentence beginning “No meeting date”. Include attendees, every spoken line, both decisions and the missing-information sentence. Send later step prompts in the same conversation after checking each answer. Compare with “The intended result” (Illustrative output) without pasting it as meeting evidence.

Start with the synthetic example, then adapt each prompt to your task.

01

Extract what the notes actually say

Remove unnecessary personal details. Keep wording that distinguishes an offer from a firm commitment.

Your starting prompt
Read only the notes below. Extract decisions, explicit commitments, conditional offers and unresolved questions into separate lists. Include a short exact quote supporting every commitment. Do not turn suggestions into assignments. Use "not recorded" for missing facts.

NOTES:
[paste notes]
Expect

Separate decisions, explicit commitments, conditional offers and open questions, with exact quotes for commitments.

Check

The decisions keep the existing article template and leave publication open. Maya commits to checking screenshots; Jo commits to sending reader questions. Leo’s “I can” depends on screenshot confirmation. Mentioning a link check does not assign it to Jo.

If it differs

If an offer becomes an assignment, send: “Separate explicit commitments from conditional offers. Quote the source for each assigned action. Keep missing owners and dates not recorded.” Check the corrected list against each original note.

02

Build the action list

Preserve dependencies and relative deadlines instead of guessing their calendar dates.

Your starting prompt
Using that extraction, create an action list with action, owner, deadline, dependency and source quote. Include only explicit commitments as assigned actions. Put conditional offers in a separate section. Keep "Tuesday" as written if the meeting date is absent. Do not infer an owner from who raised the topic.
Expect

An action list for Maya and Jo with action, owner, deadline, dependency and source quote, plus Leo’s offer in a separate section.

Check

Maya’s deadline is “Tuesday”, with no calendar date. Jo’s is “after this meeting”, with no exact time. Leo needs confirmation that the screenshots are current, plus an agreed assignment and deadline.

If it differs

If a calendar date, owner or unconditional commitment appears without support, send: “Remove unsupported assignments and dates. Preserve the original relative deadlines and Leo’s condition. Return the corrected action list and separate conditional offer.”

03

Ask the smallest useful questions

Prioritize missing details that would stop someone acting or cause a missed handoff.

Your starting prompt
List the unresolved questions needed to make this plan usable. Prioritize missing owners, unclear deadlines and dependencies. Ask one question per gap. Do not answer them yourself or add extra tasks merely because they might be useful.
Expect

A short list of questions about the unassigned link check, relative deadlines, Leo’s possible assignment and the unapproved distribution plan.

Check

Each question addresses a real gap. The notes do not identify a distribution-plan approver, the Tuesday calendar date, or a deadline for the introduction. The AI should not answer those gaps itself.

If it differs

If it fills in answers or invents extra tasks, send: “Use only gaps in the original notes. Ask one question per missing fact, including who owns the link check and who can approve distribution. Leave every answer unresolved.”

04

Check before sharing

Compare the draft against the notes. Share it only after checking the people, promises and dates.

Your starting prompt
Audit the action plan against the original notes. Identify any unsupported owner, stronger commitment, invented deadline or missing condition. Return a corrected plan and a short list of remaining unknowns. Preserve exact names and the meaning of the source.
Expect

A corrected plan with source-backed assignments, a separate conditional offer and remaining unknowns.

Check

Read each quote yourself and use the worked-example checks. The publication date remains open and the distribution plan remains unapproved. A written action list does not assign new work or send anything to the team.

If it differs

If the audit still strengthens a promise, quote the relevant source line and send: “Match this line’s exact level of commitment. Correct the plan and preserve the missing facts.” Recheck every changed row before sharing a plan separately.

Optional: improve the result

Carry the plan into the next meeting

Use a saved format and compare updates manually. Silence is not evidence that a task is complete.

Advanced prompt
Compare the prior action plan with the new notes pasted below. For each prior action, mark "confirmed complete", "updated" or "no update recorded", with an exact supporting quote when status changes. Add new commitments separately. Do not mark an item complete just because it is absent from the new notes. List conflicting deadlines for human review.

NEW NOTES:

Optional: use your own input

Make a plan from your own meeting notes

Open a fresh conversation in a text chat AI. Paste only non-sensitive notes you have permission to use, with private details removed. Replace the bracketed section below with the complete relevant notes, including conditions and any stated meeting date. Use your own people or role labels and actual decisions; do not copy the sample’s names, relative deadlines or rules. After checking the extraction, send:
“Build an action list with action, owner, deadline as written, dependency and exact source quote. Assign only explicit commitments. Put conditional offers in a separate section and mark missing facts not recorded.”
“List the smallest questions needed to resolve missing owners, deadlines and conditions. Ask one question per gap. Do not answer the questions or create extra tasks.”
“Audit every row against my original notes. Remove unsupported owners, stronger promises and invented dates. Return the corrected plan and remaining unknowns.”
Read each supporting quote yourself before sharing or assigning work separately. Use the personal checks below. The worked-example checks and original advanced extension are sample-only unless adapted to your own notes and checked prior plan.

Your own-input prompt
Help me turn these notes into a reviewable action plan. First extract decisions, explicit commitments, conditional offers and unanswered questions separately. Include a short exact quote for every commitment. Do not turn “I can”, suggestions or a topic someone raised into an assignment. Preserve conditions and deadlines as written; do not convert relative deadlines into calendar dates when the reference date or meaning is missing. Mark missing facts not recorded. Wait for my next message before building the action list. Produce text only: do not assign tasks, change a calendar or task app, contact anyone or share the notes.

COMPLETE RELEVANT MEETING NOTES
[Paste authorized non-sensitive notes, retaining exact commitment wording, speaker or role labels, decisions, conditions and any explicitly recorded date. State if the meeting date is not recorded.]

Check your own result

  • Each assigned action has an exact quote showing a commitment by that person or role.
  • Conditional offers, decisions and unanswered questions remain separate; an unapproved plan is not presented as approved.
  • Names, task counts and deadlines come from your notes; relative dates are not silently resolved.
  • Missing owners, dates and conditions stay visible for human confirmation before you share or assign work.
Show, then try

This input is synthetic. The output is a written illustration of the intended result, not a verified AI-tool run.

The starting point

Synthetic input
Synthetic example: a content team's planning notes.
Attendees: Maya, Leo and Jo.
Decision: keep the existing article template for the next product guide.
Maya: I will check the screenshots by Tuesday.
Leo: I can draft the introduction once Maya confirms the screenshots are current.
Jo: We still need someone to check the links in the guide.
Maya: The draft distribution plan is not approved.
Decision: leave the publication date open.
Jo: I will send the current reader questions after this meeting.
No meeting date, introduction deadline, link-check owner or distribution-plan approver is recorded.

Copies text only. For image or file tasks, use the source files named in the steps too.

The intended result

Illustrative output
DECISIONS
- Keep the existing article template for the next product guide.
- Leave the publication date open.

ACTION PLAN
- Maya: check the screenshots. Due: Tuesday; calendar date not recorded. Evidence: "I will check the screenshots by Tuesday."
- Jo: send the current reader questions. Due: after this meeting; exact time not recorded. Evidence: "I will send the current reader questions after this meeting."

CONDITIONAL NEXT STEP
- Leo offered to draft the introduction after Maya confirms the screenshots are current. Confirm the assignment and deadline; this is not an unconditional commitment.

OPEN QUESTIONS
- Who will check the guide's links, and by when?
- Which calendar date does Tuesday mean?
- Who can approve the distribution plan?
- When is the introduction draft needed?

You’re the final check

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • Treating “I can” or “someone should” as an agreed assignment.
  • Turning an unapproved plan or tentative publication date into a decision.
