What you’re working towards
A seven-room priority board that preserves access restrictions, unresolved guest status and release gates. No room is declared ready without the required checks.

Make a start
One step at a time.
5 steps
Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.
Set up the worked example
Open
Open a chat AI that accepts pasted text and start a new conversation. This is a written practice board. DND means do not disturb. SOP means standard operating procedure: the exercise’s written rules. Turnover means preparing a departed guest’s room for its next use; a stayover guest is still staying.
Add the sample
In step 1, replace [paste fixture] with the entire text under ‘The starting point’ (Synthetic input), from ‘SYNTHETIC HOTEL SNAPSHOT’ through ‘never an assessment of guests or employees.’ Include the timestamp, every exercise rule and all seven room lines. Send the whole prompt. Send each later step prompt in this same chat, checking the reply before moving on. Do not copy the text under ‘The intended result’ (Illustrative output) into the chat or treat this fictional snapshot as today’s room status.
Start with the synthetic example, then adapt each prompt to your task.
01
Freeze the snapshot and rules
Use room IDs rather than guest identities.
Your starting prompt
Extract each room's occupancy, DND/access, cleaning state, maintenance state, arrival status and source timestamp. Separate confirmed facts, requests and conflicting notes. Apply only the supplied SOP; do not infer checkout from missing bags.
SNAPSHOT AND SOP:
[paste fixture]
Expect
A fact list for rooms 101–107, tied to the snapshot at 10:30 on 14 October 2026, in the hotel’s local time. Confirmed status, requests and conflicting notes remain separate.
Check
Room 101’s 13:00 request is unapproved. Room 103 still has unresolved occupancy and DND displayed. Room 107 has conflicting occupancy notes and no DND status. ‘Bags seem gone’ is not checkout confirmation.
If it differs
If a room or rule is missing, paste the omitted source line and ask for the complete extraction again. If an uncertain status becomes confirmed, point to that room’s original wording and ask the AI to restore the uncertainty.
02
Apply access gates before priority
Urgency cannot turn a blocked room into an accessible one.
Your starting prompt
Classify every supplied room as eligible turnover, inspection or hold/clarification. Give the specific gate for each. DND, uncertain occupancy and unreleased maintenance must stay blocking under the supplied SOP. Preserve stayover service windows and recheck-at-service requirements.
Expect
Three groups: 101 and 102 are eligible for turnover, meaning they can be assigned for cleaning; 104 awaits inspection; 103, 105, 106 and 107 need a hold or clarification. A ‘gate’ is a condition to confirm before work can proceed.
Check
Room 103 is blocked by occupancy/DND; 105 needs authorized maintenance release; 106 needs its after-14:00 service window and access check; 107 needs conflicting records and missing DND status resolved. Cleaning complete does not make 104 ready.
If it differs
If a blocked room enters the cleaning group, quote its blocker and the matching exercise rule. Ask the AI to classify all rooms again. An arrival deadline or a guest request cannot replace the required access check.
03
Order the eligible work
Use confirmed deadlines without inventing duration or staffing.
Your starting prompt
Order only eligible dirty rooms by confirmed arrival deadline. Keep unapproved early requests separate from standard arrival times. Give cleaned, inspection-pending rooms a separate lane. Do not assign staff, predict completion or mark rooms ready.
Expect
Room 102 first, then 101, in the cleaning queue. Room 104 stays in a separate inspection queue. There are no staff assignments, predicted finish times or newly ready rooms.
Check
Room 102 has a confirmed 12:00 arrival. Room 101 uses its standard 15:00 arrival; its unapproved 13:00 request stays visible but does not become a promise. Held rooms stay out of the eligible queue.
If it differs
If the order differs, ask the AI to show each eligible room’s confirmed arrival and reorder just those rooms. If it assigns staff or a completion time, ask it to remove that invented detail.
04
Write the human handoff
Route each missing fact to the relevant role, not to an invented individual.
Your starting prompt
Create a complete room board with state, next allowed action, blocker and responsible role to resolve it. Add release dependencies and concise questions for front desk, maintenance and supervisor. Do not issue guest messages, change room systems or promise availability.
Expect
A complete board with each room’s state, allowed next action, blocker and the role that can resolve it. It also lists questions for front desk, maintenance and the supervisor, plus the checks needed before a room can be released.
Check
Room 105 still needs authorized maintenance release before cleaning. Room 104 needs supervisor inspection. Rooms 101/102 still need cleaning recorded and inspection passed before a human updates ready status. No guest message or hotel-system change is part of this exercise.
If it differs
If a next action skips a required check, quote the exercise rule and ask for the corrected sequence. If a made-up employee or ready-time guarantee appears, ask the AI to use the supplied role and leave the time unconfirmed.
05
Audit every room
The tally should expose a missing or doubly classified room.
Your starting prompt
Count unique rooms and reconcile lane totals against the original snapshot. Verify every blocked room remains gated until its specific access, occupancy or maintenance condition is satisfied. Verify cleaned rooms are not ready until required inspection passes. No arrival deadline overrides access. Report any missing or duplicated room.
Expect
A count of seven different rooms: two eligible for turnover, one awaiting inspection and four on hold or needing clarification. Zero rooms are newly marked ready.
Check
Tick off 101–107 against the original snapshot. Each room appears in exactly one status group, with all of its blockers intact. References in a question or checklist do not count as extra rooms.
If it differs
If the totals fail or a room appears in two status groups, name the missing or repeated room and ask for a complete corrected board and recount. If a blocker vanished, restore it from the source before using the draft for any further practice.
Optional: improve the result
Reconcile a live-shift update on paper
Use timestamped changes and keep stale or contradictory reports visible.
Advanced prompt
Compare this board with timestamped updates. Move rooms only when the update explicitly satisfies their gate. Record old state, new state, supporting update and remaining dependency. Test an update saying only '105 fixed', one saying '107 looks empty', and one saying '104 inspection passed at 11:00 by supervisor'. Ask whether 'fixed' includes authorized release; do not treat appearance as access. Flag stale timestamps and do not edit any hotel system.
Optional: use your own input+
Draft a board from your own safe practice snapshot
Use a new chat with a made-up snapshot or non-sensitive material you are authorized to share. Remove guest identities, reservation details and personal staff information. Fill the placeholders with your snapshot and its actual rules. After checking the extracted facts, send these messages one at a time in that chat, checking each reply: “Classify every room using my supplied rules: eligible work, inspection, or hold/clarification. State each gate. Preserve access restrictions, service windows and checks needed at service time.” “Order only eligible dirty rooms by confirmed priority under my rules. Keep requests separate. Do not assign staff, predict completion or mark rooms ready.” “Write the complete room board with state, allowed next action, blocker and responsible role. Add required release checks and questions. Make no system changes or guest promises.” “Audit against my original snapshot and rules. Count unique rooms and check group totals for omissions or duplicates. Keep every unresolved access, occupancy, maintenance and inspection gate.” The original advanced extension is sample-only unless adapted with your own room labels, checked board and timestamped updates.
Your own-input prompt
Help me draft a written housekeeping work board using only my snapshot and supplied rules. First extract each room’s occupancy, access permission, do-not-disturb status, cleaning state, maintenance state, arrival status and source time. Separate facts, requests, missing information and conflicts. Explain any abbreviation I have defined; ask about one I have not defined. Do not infer access from appearance or an expected departure. We will check the facts before classifying rooms, ordering eligible work, writing a handoff and auditing the room count. Keep work with unresolved access or required release checks blocked. Do not assign staff, promise completion, mark rooms ready, contact guests or edit a hotel system.
SNAPSHOT AND LOCAL TIME
[Paste a timestamped non-sensitive room list with distinct room labels. Include relevant status and access notes; mark unknown facts explicitly.]
APPLICABLE RULES
[Paste the access, do-not-disturb, maintenance-release, cleaning, inspection, priority and stayover-service rules that apply. Include who can verify or approve each required step. Mark missing rules as unknown.]
Check your own result
Every supplied room is counted once in the status groups; questions and checklists do not inflate the total.
Uncertain occupancy, access restrictions and missing required releases remain visible and prevent the affected work.
Priority uses confirmed information and your supplied rules; requests do not become promises.
The board preserves the distinction between cleaned, inspected and ready wherever your rules require it, and a human verifies any real operational use.

01 / The starting point
Synthetic input
SYNTHETIC HOTEL SNAPSHOT as of 2026-10-14 10:30, local hotel time. No guest names or real reservations.
Supplied exercise SOP:
- Cleaning entry requires front desk confirmation of checkout/access and a clear do-not-disturb status. An arrival deadline never overrides access restrictions.
- Maintenance-held rooms require an authorized maintenance release before cleaning.
- Cleaned rooms need supervisor inspection before being marked ready.
- Confirmed earlier arrival is prioritized among rooms eligible for turnover. An unconfirmed request is not a promised arrival.
No staff roster, cleaning durations or room-ready guarantees are supplied.
101 | Checkout confirmed; DND clear | Dirty | Standard arrival 15:00; early-arrival request 13:00, not approved
102 | Checkout confirmed; DND clear | Dirty | Early arrival 12:00, confirmed
103 | Guest occupancy unresolved; DND displayed | Dirty status recorded | Departure was expected 11:00; note says "bags seem gone"
104 | Checkout confirmed; DND clear | Cleaned; inspection pending | Arrival 14:00 confirmed
105 | Checkout confirmed; DND clear | Maintenance hold: leak; no release | Arrival 15:00 confirmed
106 | Occupied stayover; service requested after 14:00 | Service pending | DND/access permission at service time not confirmed
107 | Front desk board says vacant; separate note says late checkout 12:30 | Dirty | Arrival 15:00 confirmed; DND status missing
Priority is a room-work order, never an assessment of guests or employees.

TURNOVER BOARD · Synthetic snapshot, 14 Oct 2026 at 10:30
ELIGIBLE TURNOVER QUEUE
1. Room 102 | Ready for cleaning assignment | Confirmed arrival 12:00 | Checkout/access confirmed and DND clear | Supervisor assigns available staff; no completion time promised.
2. Room 101 | Ready for cleaning assignment | Standard arrival 15:00 | Checkout/access confirmed and DND clear | The 13:00 early request is unapproved. Front desk must resolve it before it becomes a committed target.
INSPECTION QUEUE
Room 104 | Cleaned, awaiting supervisor inspection | Arrival 14:00 | Do not mark ready or repeat cleaning automatically. Supervisor records inspection outcome before release.
HOLD / CLARIFICATION QUEUE
Room 103 | No cleaning entry | Occupancy unresolved and DND displayed. "Bags seem gone" is not checkout confirmation. Front desk must verify actual occupancy/access and resolve DND under the supplied SOP.
Room 105 | Maintenance hold | Leak has no release. Authorized maintenance release is required before cleaning; cleaning and supervisor inspection still follow. Front desk should assess the 15:00 arrival impact; no alternative room is invented.
Room 106 | Conditional later service | Requested after 14:00, not immediately eligible. At service time, confirm permitted stayover access and DND status before assigning service. Do not infer permission from the request alone.
Room 107 | Conflicting occupancy/access records | Board says vacant but late-checkout note says 12:30; DND unknown. Front desk must reconcile records and verify access. Do not infer that 12:30 automatically clears the room.
RELEASE CHECKLIST
For 101/102: confirmed access → cleaning completed and recorded → supervisor inspection passed → human updates ready status.
For 104: supervisor inspection passed → human updates ready status.
For 105: authorized maintenance release → confirmed access → cleaning → inspection → ready.
For 103/106/107: resolve stated access/status blockers before the appropriate work is assigned.
HANDOFF QUESTIONS
- Front desk: Is room 101's early request approved, and are 103/107 actually accessible?
- Maintenance: Has 105 been released by the authorized person?
- Supervisor: Who is available for 102/101 and for inspection of 104?
- At/after 14:00: Does 106 have confirmed permitted access with DND clear?
RECONCILIATION
7 rooms: 2 eligible turnover; 1 inspection; 4 hold/clarification. Newly marked ready by this example: 0. No staff assignments or guest promises invented.
These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.
Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.
Equating a vacant-looking room with permission to enter.
Letting a VIP label or early-arrival request override the supplied access rules.
Treating cleaned, inspected and ready as the same status.
