See the worked-example diagram
Move-day timing diagram for 2026-11-07. Baseline reaches depot at 13:00 with a 60-minute buffer. Loading plus 30 minutes arrives at 12:00 with keys finishing 12:10, unload 12:10–12:50, depot 13:10, 50-minute buffer. Keys lasting 25 minutes leave a 5-minute hold and a 60-minute buffer. Hypothetical unbooked lift 12:30–13:30 needs a 50-minute hold, unload 12:30–13:10, depot 13:30, 30-minute buffer. Permissions, key return, and journey home remain unresolved. Hatch and question marks mark unknowns without relying on colour alone.

Download the diagram text

Read the baseline and each change separately. The estimated van-return buffers are 60, 50, 60 and 30 minutes; permitted waiting space and the hypothetical lift change still need confirmation. Synthetic timing model, not a booking or physical-feasibility check.

Source files to work with

Make a start

One step at a time.

5 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Set up the worked example

Open

Open a chat AI that accepts pasted text and start a new conversation. Keep the guide and a calculator or paper beside it to check inventory counts and times. A manifest means a list of what is being moved; this exercise makes a written plan, not a booking or safe-lifting assessment.

Add the sample

In step 1, replace [paste fixture] with all of “The starting point” (Synthetic input), beginning “SYNTHETIC MOVE BRIEF.” and ending “estimates are not guarantees.” Include inventory, essentials, agreed owners, all dates, time estimates and unresolved questions. Send later prompts in the same chat after checking each reply. Keep “The intended result” (Illustrative output) for comparison, not as confirmation that access or transport is arranged.

Start with the synthetic example, then adapt each prompt to your task.

01

Separate facts from estimates

Use an inventory with IDs and no private address details.

Your starting prompt
Extract the move brief into inventory, agreed owners, confirmed constraints, planning estimates and unanswered questions. Do not convert an estimate or available key-collection time into a guarantee.

BRIEF:
[paste fixture]
Expect

Separate inventory, agreed owners, confirmed time constraints, planning estimates and unanswered questions. A confirmed slot is a rule to respect; an estimated duration is not guaranteed.

Check

There are six boxes B1–B6 and table F1, plus the separate tote, documents/keys bag and tool pouch. Ren owns B1/B3/B4 and essentials/documents; Sol owns B2/B5/B6, F1 and tools. Loading/waiting space, old-key return location and Sol’s depot journey remain unresolved.

If it differs

If an estimate becomes a guarantee or an owner changes, send: “Restore the supplied inventory IDs and agreed owners. Keep confirmed constraints, duration estimates and unresolved access/transport questions separate.” Check against all three source sections.

02

Make the packing manifest

Keep a small accessible kit separate from sealed boxes.

Your starting prompt
Create one manifest row per supplied box and furniture item with contents, agreed owner, packing date, opening priority and dependencies. List essentials, documents/keys and tools separately. Preserve distinctions between items with similar names. Do not invent quantities, weights, safe lifting limits or unagreed owners.
Expect

One manifest row for each of B1–B6 and F1, plus separate accessible essentials, documents/keys and tools lists. Dependencies are things that must be ready before a task can happen.

Check

Count six boxes and one table, each once. B4’s six fragile mugs are separate from the tote’s two everyday mugs. The tote keeps two changes of clothes total, two towels, toiletries, chargers, bed linen, kettle, those everyday mugs, water and snacks. Keys stay with Ren; tools and labeled table fasteners stay with Sol.

If it differs

If an item is missing, duplicated or sealed away, send: “Reconcile every inventory ID and the complete essentials list. Keep everyday mugs separate from B4, and keep keys, chargers, tools and fasteners accessible. Preserve agreed owners; do not invent spare boxes, weights or lifting limits.”

03

Work backward from access times

Solve the sequence using the given durations, then expose the unresolved gates.

Your starting prompt
Build a move-day timeline from the supplied availability, loading/travel/unloading estimates, key access, lift slot and vehicle-return deadline. Calculate holding time and remaining buffer. Keep permitted waiting/loading space as a gate if unresolved. Do not schedule old-key return or the driver's trip home from the depot without enough source information.
Expect

A conditional move-day timeline with a waiting interval and van-return buffer. A gate is a condition that must be confirmed before you can rely on the plan.

Check

Check 10:00–11:00 loading, travel to 11:30, keys to 11:40, waiting to 12:00, unloading to 12:40 and depot arrival 13:00. That leaves 60 minutes before the 14:00 deadline. Waiting/loading permission is still a gate; old-key return and Sol’s trip home have no scheduled time.

If it differs

If the lift is used early or missing travel is assumed, send: “Recalculate from the supplied durations and the 12:00–13:00 lift slot. Keep the 20-minute waiting interval conditional on permitted space. Leave old-key return and depot-to-home travel unscheduled.” Re-add the minutes yourself.

04

Write preparation and first-night lists

Every item needed before unpacking must stay reachable.

Your starting prompt
Make dated preparation tasks using supplied milestones and agreed owners. Include access questions, inventory count, labelled fasteners, accessible essentials and first-night setup. Flag timing gaps and unknown weights for human verification. Do not book, buy or contact anyone.
Expect

Preparation lists using 1, 5, 6 and 7 November milestones, plus accessible-kit and first-night checks with agreed owners preserved.

Check

Check that 5 November access/transport questions remain open until actually confirmed, 6 November packing includes table fasteners, and both people check inventory before loading. Sol cannot have a fixed reassembly start until the depot journey home is known. Unknown weights do not establish a safe lifting plan.

If it differs

If a list implies an arrangement was made, send: “Mark unresolved arrangements as questions, not completed tasks. Keep the agreed owners, accessible kit and first-night checks. Leave safe handling and load feasibility for human verification; do not book, buy or contact anyone.”

05

Stress-test the dependencies

A contingency should prompt a decision rather than promise an unavailable resource.

Your starting prompt
Audit three independent scenarios: loading takes 30 minutes longer than estimated, key collection takes 25 minutes, or loading space is not confirmed. Recalculate from the supplied baseline and identify the first affected dependency and who must resolve it. Do not silently extend bookings, invent parking permission or assume safe lifting capacity.
Expect

Three separate tests, each starting from the original baseline: longer loading, longer key collection, and unconfirmed space. The answer names the affected task and any unresolved decision owner.

Check

With loading 30 minutes longer: keys finish 12:10, unloading ends 12:50 and depot arrival is 13:10, leaving 50 minutes before return. With key collection lasting 25 minutes: keys finish 11:55, waiting shrinks to five minutes, and depot arrival stays 13:00. Both remain conditional on access and estimates. With no permitted space confirmed, the plan is blocked there; no substitute or permission is established. Use the worked-example checks for the unchanged inventory and baseline.

If it differs

If scenarios are combined or silently extend a booking, send: “Reset to the baseline for each independent scenario and recalculate separately. Do not extend the lift or van booking. If space is unconfirmed, state the blocker and leave the person who must obtain confirmation unassigned unless the brief names them.” Recheck timing, permissions and safe handling yourself before any real move.

Optional: improve the result

Re-plan only what a change affects

Use inventory IDs and dependencies to avoid rewriting everything when one constraint changes.

Advanced prompt
Given this baseline plan and one confirmed change, return unchanged tasks, affected tasks, revised times, remaining buffer and new blockers. Trace each change through dependencies. Preserve original owners unless a reassignment is explicitly supplied. Test lift slot changed to 12:30–13:30 while van return remains 14:00; do not claim the new slot is booked. State what needs confirmation before the revised plan can be used.
Optional: use your own input

Plan your own move from confirmed facts

Open a new conversation in a text chat AI. Use an authorized non-sensitive inventory with item IDs and role labels; omit addresses, access codes, personal documents and booking references. Replace all bracketed sections below together with your own item counts, agreed owners, essentials, dates, access rules and estimates. After checking the extraction, send:
“Create one manifest row per inventory ID with contents, agreed owner, packing milestone, opening priority and dependencies. List accessible essentials, documents/keys and tools separately. Leave missing owners or quantities unknown.”
“Build a conditional move-day timeline from my confirmed access/vehicle constraints and supplied durations. Show waiting time and buffers. Keep unconfirmed permission as a blocker and do not invent missing journeys.”
“Make preparation and first-night lists from my supplied milestones and agreed owners. Keep essentials reachable, expose timing gaps and leave unknown weights and handling needs for human checks.”
“Audit the plan against my source and test each supplied hypothetical change separately from the same baseline. Recalculate affected times and blockers without extending bookings, changing owners or inventing access. Return the checked plan and remaining questions.”
Verify actual arrangements and safe handling yourself before relying on the plan. These personal checks replace the worked-example checks. The original advanced extension is sample-only unless adapted; its example lift-slot change is not a change to your booking.

Your own-input prompt
Help me draft a household move plan using only my supplied facts. First separate inventory, agreed owners, accessible essentials, confirmed arrangements, planning estimates and unanswered questions. Use the supplied IDs consistently. Keep unknown weights, quantities, owners, access permission and transport unknown; ask rather than guessing. Do not make the full plan yet. We will check the extraction before making a manifest, timeline, preparation lists and separate change tests. Do not invent helpers, equipment, safe lifting limits, legal permission or guaranteed durations. Produce text only: do not book, buy, access accounts, contact anyone or change arrangements.

INVENTORY, ESSENTIALS AND AGREED OWNERS
[Give each box/item a distinct ID; list contents, known quantities, agreed role owners, essentials that must stay accessible and any stated packing milestones. Mark unknowns explicitly. Omit private addresses, codes and documents.]

DATES, CONFIRMED CONSTRAINTS AND ESTIMATES
[Give your actual move date, access and transport windows, any lift/vehicle deadlines, separate duration estimates, and unresolved journeys or permissions. Distinguish confirmed arrangements from plans.]

CHANGES TO TEST
[List hypothetical timing or access changes you want tested independently, with the changed value; say none if none are supplied. These are tests, not new bookings.]

Check your own result

  • Each actual inventory ID appears once in the manifest with its agreed owner; separate accessible essentials are complete and not sealed away.
  • Times use your supplied estimates and confirmed windows, including all known journeys, waiting and buffers; each hypothetical test restarts from the baseline.
  • Missing permissions, owners, trips and weights remain unresolved, with no invented booking extensions, helpers or handling guarantees.
  • Your actual people, quantities, dates and rules replace the sample together, and you verify real access, transport and safe handling before acting.
Show, then try

See the shape of the result.

This input is synthetic. The output is a written illustration of the intended result, not a verified AI-tool run.

The starting point

Synthetic input
SYNTHETIC MOVE BRIEF. Two adults, Ren and Sol, move on 2026-11-07 from a one-bedroom home to a furnished studio. The new bed and major appliances are already provided. No actual address or booking is used.

INVENTORY
Six available boxes:
B1 books; B2 ordinary clothes; B3 kitchen items not needed until after moving; B4 six fragile mugs; B5 spare bathroom supplies; B6 desk cables and stationery.
Also: F1 small table with removable legs; one tool pouch; one essentials tote; one documents/keys bag.
The essentials tote must contain one change of clothes per adult, two towels, toiletries, chargers, bed linen, kettle, two everyday mugs, water and snacks. These two everyday mugs are separate from B4's six fragile mugs. Documents/keys bag stays with Ren. Tool pouch stays with Sol. Item/box weights are unknown.

AGREED OWNERS
Ren packs B1/B3/B4, makes the essentials tote and keeps documents/keys.
Sol packs B2/B5/B6, removes/reassembles F1's legs and keeps the tool pouch.
Both agreed to check labels and inventory before loading.

DATES AND CONSTRAINTS
2026-11-01: start nonessential packing.
2026-11-05: confirm remaining access questions.
2026-11-06: finish boxes; take table apart; keep essentials and tools accessible.
2026-11-07: van is available at the old home 10:00; return to depot by 14:00.
New keys can be collected from 11:00; allow 10 minutes, planning estimate.
New-building lift slot 12:00–13:00 is confirmed.
Planning estimates: loading 60 minutes; travel old-to-new 30 minutes; unloading 40 minutes; new-home-to-depot 20 minutes.
Unresolved: legal loading/short-waiting space at the new building, the location for returning old keys and Sol's transport from the van depot back to the new home. Do not invent either.
The move-day sequence remains conditional on confirmed safe access and loading space; estimates are not guarantees.

The intended result

Illustrative output
PACKING MANIFEST
B1 | Books | Ren | Pack from 1 Nov | Open later | Check actual weight; split only if suitable spare containers are obtained
B2 | Ordinary clothes | Sol | Finish 6 Nov | Open after essentials | Keep one change each out for tote
B3 | Nonessential kitchen items | Ren | Finish 6 Nov | Open later | Exclude kettle and two everyday mugs
B4 | Six fragile mugs | Ren | Finish 6 Nov | Open later | Cushion and label fragile; count six
B5 | Spare bathroom supplies | Sol | Finish 6 Nov | Open later | Keep first-night toiletries/towels in tote
B6 | Desk cables and stationery | Sol | Finish 6 Nov | Open later | Keep needed chargers in tote
F1 | Table top and removed legs | Sol | Disassemble 6 Nov | Reassemble after unload | Put fasteners in labelled pouch with tools

KEEP ACCESSIBLE
Essentials tote, Ren: two changes of clothes total, two towels, toiletries, chargers, bed linen, kettle, two everyday mugs, water, snacks. Load where it can be reached first.
Documents/keys bag: stays with Ren, outside the box load.
Tool pouch and F1 fasteners: stays with Sol, outside sealed boxes.

PREPARATION
1 Nov: begin B1 and other nonessential items; Ren/Sol use their agreed box ownership.
5 Nov: confirm loading/short-waiting space at the new building, old-key return location and Sol's transport back from the depot. If still unresolved, keep move-day access unconfirmed and arrange a permitted alternative before relying on the schedule.
6 Nov: finish B1–B6, label each ID/destination/contents, disassemble F1 and isolate tote/bag/tools. Both check the six-box inventory.
7 Nov before loading: check keys/phone and accessible kit, reconfirm access, inspect load feasibility and arrange appropriate help/equipment if needed. Unknown weights cannot establish a safe lifting plan.

CONDITIONAL MOVE-DAY PLAN
10:00–11:00: load at old home (60-minute estimate); keep kit, bag and tools accessible.
11:00–11:30: travel (30-minute estimate).
11:30–11:40: Ren collects new keys; Sol stays with van only in a confirmed permitted location.
11:40–12:00: 20-minute holding/setup interval in that permitted location; no use of the lift before its booked slot.
12:00–12:40: unload during lift reservation (40-minute estimate).
12:40–13:00: Sol returns van to depot (20-minute estimate). Estimated arrival 13:00 leaves 60 minutes before the 14:00 deadline.
After unloading: Ren checks B1–B6/F1 and opens essentials; Sol reassembles F1 once back at the new home; the return journey from the depot is not yet arranged. Check first-night bed setup.
Old-key return: unscheduled until location and any deadline are confirmed.
Sol's depot-to-home journey: transport and timing unresolved; this does not change the calculated van-return time, but table reassembly has no fixed start time.

DEPENDENCIES AND FALLBACKS
- Unloading needs confirmed access, collected keys and the 12:00 lift slot.
- F1 reassembly needs its labelled fasteners and tool pouch.
- If loading/travel overruns, recalculate against lift end 13:00 and van deadline 14:00; contact the relevant provider to discuss options rather than assume extra time is allowed.
- No new parking, extension, helper or booking has been arranged by this plan.

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • Packing the items needed to open, assemble or survive the first night into inaccessible boxes.
  • Ignoring a gap between arrival and access.
  • Treating a schedule estimate as permission to overrun a booking.
