Coordinate a potluck without asking everyone to bring the same thing

Separate confirmed contributions from tentative offers and show the remaining gaps.

What you’re working towards

A contribution-category coverage sheet and a draft request for the remaining gaps, preserving unconfirmed offers. This is an authored practice example; no consumer AI run has been recorded.

Make a start

One step at a time.

3 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Start with the synthetic example, then adapt each prompt to your task.

01

Try the complete example

Open a new chat in a text AI assistant you already have permission to use. Paste all of Input from this guide, then the prompt below, in one message. Do not paste Output: that is the illustrative answer for comparison. Expect a written result that will separate confirmed contributions from tentative offers and show the remaining gaps. Different wording is fine; the source facts and rules must agree.

Your starting prompt
Make a coverage sheet for each target category, separating confirmed and tentative counts and naming source offer tokens. Calculate gaps against confirmed offers only, show what the tentative offer could fill, and write the authorized short draft. Do not assign an unconfirmed person, create a deadline or infer servings or dietary suitability.

Use only the complete synthetic input pasted above. Return the finished written result. Keep missing facts unknown. Do not send, publish, order or change another service.
02

Trace the answer back to the source

Compare the answer with Input yourself. Three contributions are confirmed, one is tentative, and there are five target contributions. Savory has one confirmed gap; utensils have one gap. B is not counted as secured. The draft asks B rather than confirming for B, and asks for a utensils volunteer without inventing a deadline. If a check fails, paste: “This part is wrong: [quote it]. My source says: [quote the exact line]. Return the complete corrected result and explain the change.” Recheck before saving; if the source itself is incomplete, keep that part unresolved.

Your starting prompt
Audit the result against the source pasted in this chat. Check these specific points:
- Three contributions are confirmed, one is tentative, and there are five target contributions.
- Savory has one confirmed gap; utensils have one gap. B is not counted as secured.
- The draft asks B rather than confirming for B, and asks for a utensils volunteer without inventing a deadline.
Show each mismatch and return a complete corrected replacement. Distinguish your text audit from checks that only a person or the actual application can perform.
03

Use your own input

For your own version, open a new chat. Paste the prompt below after replacing every bracketed field. Replace related IDs, quantities, dates, rules and limits together; none of the practice facts carries over. Expect the same named deliverable using your source. Review it yourself: count confirmed and tentative contributions separately and ensure the draft never presents a tentative contribution as secured. If a check fails, paste: “This part is wrong: [quote it]. My source says: [quote the exact line]. Return the complete corrected result and explain the change.” Recheck before saving; if the source itself is incomplete, keep that part unresolved.

Your starting prompt
Create a contribution-category coverage sheet from my organizer-set targets and offers. Count confirmed and tentative contributions separately, calculate each confirmed gap, and show which tentative offer could fill it. Draft only the request I explicitly authorize in MY INPUT, preserving any supplied response deadline. Do not assign people, infer portions or make dietary claims.

MY INPUT
Adult gathering count: [replace with your own complete non-sensitive details, or state unknown]
Organizer-set contribution categories and target counts: [replace with your own complete non-sensitive details, or state unknown]
Fictional or anonymized offers and statuses: [replace with your own complete non-sensitive details, or state unknown]
Approved request wording and response deadline if any: [replace with your own complete non-sensitive details, or state unknown]

Use only MY INPUT for facts and constraints. Ask for an essential missing fact or conflicting rule before deciding; do not import practice-example names or numbers. Return the complete result plus unresolved questions and a source-based check list. Do not send, publish, buy, schedule or change another service.
Optional: improve the result

Reconcile a changed response

Keep a small change log when a tentative contribution becomes definite. This optional extension uses only the synthetic example. Return to the sample chat, or paste its full Input into a new chat first. Do not transfer the changed sample values to your own input.

Advanced prompt
For the synthetic example only, B confirms the savory dish and E confirms one reusable serving-utensil set. Return the updated coverage and a two-line change log. Explain why full category coverage still does not establish portions or food suitability. Do not send a message.
Show, then try

See the shape of the result.

This input is synthetic. The output is a written illustration of the intended result, not a verified AI-tool run.

The starting point

Synthetic input
Synthetic practice input. All names, products, records and policies below are invented.

Fictional gathering: eight adults. Organizer-set targets are contribution counts, not servings: 2 savory dishes, 1 dessert, 1 drinks contribution and 1 set of reusable serving utensils.
Offers: A confirmed one savory dish. B tentative one savory dish. C confirmed one dessert. D confirmed one drinks contribution. No utensils offer.
The organizer authorizes a friendly draft asking B to confirm and asking for one utensils volunteer; do not assign anyone. No response deadline, portion sizes, dietary or allergy facts are supplied. Draft only.

Copies text only. For image or file tasks, use the source files named in the steps too.

The intended result

Illustrative output
Illustrative answer authored for this guide; not a recorded AI response.

Contribution coverage
Savory dishes: target 2; confirmed 1 (A); tentative 1 (B). Confirmed gap 1, which B would fill only after confirmation.
Dessert: target 1; confirmed 1 (C); tentative 0; gap 0.
Drinks contributions: target 1; confirmed 1 (D); tentative 0; gap 0.
Reusable serving-utensil sets: target 1; confirmed 0; tentative 0; gap 1.

There are 5 target contributions in total, 3 confirmed and 1 tentative. Two gaps remain against confirmed offers: the second savory dish and one utensil set. A single contribution is not a promise of enough food for eight people.

Draft for organizer review
“Thanks, everyone. We have one savory dish, dessert and drinks confirmed. B, could you confirm whether you can bring the second savory dish? We also need one volunteer to bring a set of reusable serving utensils. Please let me know if you can help.”

Before using the plan: clarify portions and any necessary event arrangements separately. No dietary suitability or sufficient servings can be established from these offers. Nothing has been sent.

You’re the final check

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • A dish count is not a portion count. Keep the organizer’s category target separate from whether there is enough food.
  • Do not copy sensitive dietary information into an AI chat or make allergy-safety promises from a category list.
